Corporate Event Planning Advice

  When planning music or entertainment for a corporate event, here are some questions to consider:

• What type of event is it? Is there a theme for the event?
• For meetings, presentations, breakfasts, etc. would you need a motivational speaker, comedian or entertainer, etc. who could include subject matter pertinent to your function? Is music required?
• For evening events, do you want an after-dinner show? If so, a comedian or a show band for example? Do you want a National or Regional Act?
• Do you want music or non-musical theme entertainment or both?
• If you want music, do you want a band or disc jockey?
• Do you want dancing music, background music, or both?
• If dancing music, what type of music (swing, Motown, variety, etc.)?
• If background music, what type of ensemble (jazz, classical, strolling musicians, etc.)
• Do you want continuous music or would you prefer some intermissions?
• How many hours is your event?
• Are you going to have a cocktail hour? If so, is entertainment an option for this hour?
• Is there an entertainment budget?
• Is the event formal or casual?

Our event coordinators can present you with entertainment options that meet your requirements. We can provide a customized videotape presentation to you of the various possibilities available. Once you make a decision, MSE will send a contract outlining all of the pertinent information related to the event. The pertinent information will include the performer(s), the location or the event, the hours of the event, the number of breaks for the talent (if any), the dress, the payment schedule, specific requirements (i.e., staging, sound, or lighting, for example), and if airfare and/or hotel accommodations are required.) References of specific performers are available upon request.

Once you have selected the entertainment, details are extremely important. Exactly what do you expect of the performers? If you have musical entertainment, are there any specific songs that you would like to hear? Are there any songs that you do not want to hear even if requested? Sample song lists will be provided. If given enough notice our performers can learn a special song for you, as long as an audio sample or sheet music of the song is provided.

Will there be awards or speeches? If so, at what times will these occur and will the entertainment be involved (i.e., fanfares, drum rolls, actors to participate, etc.).
